An exciting opportunity awaits for a dynamic individual to become an integral part of the executive assistant team at Norfolk and Suffolk Foundation Trust. In this role, as the Senior Executive Assistant to the Deputy CEO, you'll be entrusted with providing vital support to the Deputy Chief Executive Officer (CEO). Your responsibilities will encompass a wide array of tasks, including but not limited to overseeing a team of executive assistants and personal assistants, serving as the primary liaison for both internal and external stakeholders, and navigating a fast-paced, high-pressure environment with skills and flexibility.
In this position, you'll be at the heart of ensuring the Deputy CEO's office runs seamlessly. From organising their schedule and arranging important meetings to handling sensitive issues and inquiries, your role will be crucial in keeping operations smooth and efficient. Your attention to detail will be paramount as you gather and organise documents and correspondence to ensure the Deputy CEO is always well-prepared and informed.
Collaboration will be key as you work closely with colleagues across the organisation to streamline processes and maintain high standards of work. Skill in managing Trust systems like Oracle, e-expenses, and ESR will be essential, and you'll need to uphold strict standards of Information Governance and IT Security at all times.
Main duties of the job
- Direct line management supervision of EAs and Pas in the trust secretariat team.
- Act as the primary point of contact for inquiries that would typically be directed to the Deputy Chief Executive Officer, effectively addressing highly intricate queries, managing challenging stakeholders, and receiving and handling confidential information with the utmost discretion.
- Demonstrate proactive decision-making and discretion when engaging with external stakeholders, personally addressing specific inquiries as needed and guiding internal team members as appropriate
- Forge productive and collaborative partnerships with fellow Executive Assistants within the Trust and affiliated organisations.

- Educated to degree level or demonstrable equivalent experience.
- NVQ L4 business and administration
Experience

- Experience of administering Board level committees, including agenda setting, Board pack paper preparation and minute taking
- Experience in communications and stakeholder management
- Comprehensive knowledge of project management and/or health information systems development
- Previous experience of working in the NHS or public sector
Desirable criteria
- Experience of working within or alongside a mental health service provider

The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.
