Job overview

To support the Chaplaincy Team in the day to day running of the  service with comprehensive secretarial and administrative support, and to work as part of a team to provide high standards of service delivery. 

Main duties of the job

  1. To provide full secretarial support to the Team, that includes arranging meetings both internally and externally.
  2. To accurately type letters, memorandums,  and papers ensuring these are prioritised and completed within appropriate timescales.
  3. To respond to, or direct as necessary, daily interruptions by staff and members of the public (both face to face and by telephone) on a variety of enquires. Ensuring the enquirer’s needs are clearly established; accurate messages taken and passed on promptly; or callers are passed on to other colleagues if appropriate.  (e.g. complaints, infectious patient information).
  4. To hold the team bleeps when unavailable or on study days and to answer all calls and prioritise and decide on appropriate action.
  5. To accept promptly and politely all telephone calls to the department.
  6. To be responsible for the initial investigation of any complaint directly associated with administrative staff.
  7. To take and transcribe minutes of departmental meetings
  8. To maintain team diaries arranging meetings and appointments as necessary.
