London Ambulance Service covers an area of 620 sq. miles, serves one of the world’s most dynamic and diverse cities and is the busiest ambulance service in the UK. We handle over 1.9 million emergency calls from across the capital and attend more than 1.2 million incidents every single year as well as delivering a 24 hour NHS 111 Integrated Urgent Care Service in South East and North East London that we estimate will respond to around 1.4million urgent care calls by the end of the year.

 

We employ over 9,000 people who work or volunteer across London to respond to the health needs of over eight million people who live, work and travel in the capital. We work closely with our NHS partners and are commissioned by 32 clinical commissioning groups spread across 5 sustainability and transformation partnerships (STPs) and NHS England for our specialist services. We work alongside London’s hospital, mental health and specialist trusts, as well as the five STPs across Greater London.

 

In addition we work in partnership with the other emergency services, London’s Air Ambulance and London’s Resilience Forums to make sure we are ready and prepared to respond to major incidents and ensure we keep Londoners safe. As the only pan-London NHS provider we have a unique opportunity to play a leading role in integrating access to emergency and urgent care right across London.

 

Job overview

The post holder will provide a high level, professional and confidential Personal Assistant service to the Director and Deputy Director of Ambulance Operations covering all aspects of secretarial and administrative support to ensure the smooth running of the directorate and associated Executive Team. 

In the absence of other Executive PAs ensure an effective and efficient administration support is maintained to all other Ambulance Operations Directors when necessary.

The environment with an associated amount of work pressure, the role although based on office hours 9am -5pm Monday to Friday will require some flexibility, when work load dictates this.

Main duties of the job

The successful candidates main responsibilities will be;

  • Smooth, professional and efficient administration support to corporate office of the Director and Deputy Director of Ambulance Operations.
  • As an ‘Ambassador’ for the Directors, promote and protect the reputation of the Executive and Trust at all times, reflected in internal and external stakeholder views.
  • Effective and proactive support to the Directors in managing their workload, actions and priorities to ensure timely and good quality deliverables and achievement of personal and Trust objectives.
  • Professional and personal development for oneself to maintain the appropriate skills necessary to carry out the role effectively.

Qualifications, Accreditations, Education

Essential criteria
  • Fast, accurate keyboard skills to RSA III or equivalent level of competency (advanced keyboard use)
  • Knowledge of full range of secretarial procedures, software programmes, specialized functional terms acquired through NVQ3, RSA3 or equivalent plus relevant practical experience
  • Advanced knowledge of Microsoft Office, including Word, Excel, Powerpoint, mail merge, and standard keyboard skills

Experience

Essential criteria
  • Demonstrable experience at senior level
  • Experience of servicing meetings, minute taking and follow-up administration
  • Experience of working in the NHS or a large organisation
  • Experience of dealing with sensitive/confidential information

Knowledge and Skills

Essential criteria
  • Excellent planning and organisational skills especially with regard to the prioritisation of work
  • Excellent communication and interpersonal skills
  • Able to manage complex diary issues
  • Ability to understand the workload of the designated Directors and to provide support by timely anticipation of their requirements
  • Ability to draft documents and presentations
