Job overview

The Postgraduate Administrator is an integral part of a small friendly administration team based at the Postgraduate Medical Centre.  The team support doctors rotating into training placements, particularly foundation doctors and GP Trainees and share the responsibility of maintaining a professional educational environment.

We are looking for a committed and enthusiastic person to provide a comprehensive and varied administrative and secretarial service and someone who is keen to expand their knowledge in the field of medical education.


You will need to be able to focus on your work in a busy environment and be able to multi-task and re-prioritise work regularly.   
Besides excellent communication, diplomacy and administration skills, you will be expected to help prepare teaching rooms, move furniture and check equipment to ensure the smooth running of teaching  sessions and educational events.

Main duties of the job

  • The post holder will need to have specialist knowledge of medical education, particularly the GP Training Programme /Higher Grade Specialty  curriculums which will be acquired when working within the role
  • Co-ordination of various teaching programmes and events held within the centre.
  • Maintaining registration and attendance records for those attending teaching.
  • Ensure certification and summarize feedback from teaching sessions.
  • Administer trainee portfolios for specialty trainees and non-training grade doctors who require a portfolio.
  • To provide secretarial and administrative support to the Medical Education Manager,  GP Training Programme Directors and other Medical Education Leads.
  • To co-ordinate induction and shadowing arrangements for doctors in training posts.
  • To support all doctors in training placements.
  • To organize and take minutes of meetings.
  • To operate the Centre’s diary and room booking system in line with policies and procedures.
  • To ensure that all equipment, including audio visual equipment meets the needs of individual speakers, teachers and tutors who are facilitating teaching sessions.

Education & Qualifications

Essential criteria
  • Good standard of education to include English and Maths GCSE’s Grade A-C– or Equivalent
  • NVQ/Diploma Level 3 Business Administration or equivalent, e.g. RSA 3 word and text processing
  • Knowledge and experience of working with Microsoft Office packages

Skills, Knowledge & Experience

Essential criteria
  • Previous administrative and/or secretarial experience
  • Experience of working as an integral part of an administrative team
  • Knowledge and experience of using computerised and web based information systems, data bases and social media
  • Experience of planning and co-ordinating meetings, teaching programmes, events, projects or equivalent
  • Experience of minute taking
  • Ability to manage and organise own workload without supervision, use own initiative and meet deadlines
  • Ability to produce documents, workbooks, posters
Desirable criteria
  • Previous experience of working in the NHS and/or Medical Education or General Education
  • Ability to produce documents, workbooks, posters
