Job overview

To provide the necessary administrative support to enable the efficient and effective functioning of the community multi-disciplinary team.  This includes supervision and appraisal of the ICMHT & DOPMH admin and clerical staff within the Locality.  The post holder will provide a consistent efficient service to the members of the public and team members in the context of a diverse and varying workload; ensuring there is adequate admin and clerical resource and cover between the hours of 8.45 am to 5.15 pm, Monday to Friday.

Main duties of the job

Responsibility for the ICMHT & DOPMH personnel administrative procedures including induction process for specific buildings within Locality, training process, noticeboard management, leave and sickness recording processes.  Work closely on day-to-day basis with the Administration Manager to ensure requirements are maintained at all times in terms of Health and Safety, Security and Fire of buildings within own ICMHT & DOPMH area.  To carry out supervision and appraisals for all the admin and clerical staff with the ICMHT DOPMH this includes supervision for temporary admin and clerical staff within the team.  Facilitate effective communication with members of the multi-disciplinary team and liaising with the relevant Team Managers and Administration Manager to ensure an efficient administration and clerical service is maintained.

Qualifications & Experience

Essential criteria
  • RSA III word processing or equivalent
  • RSA II audio typing or equivalent
  • NVQ 4 in Administration or equivalent experience in relevant subject area
  • Substantial experience working in an office environment with secretarial or clerical experience including reception duties
Desirable criteria
  • Experience of working within an admin role in a Health or Social care setting
  • Previous experience of working within an administrative supervisory role

Knowledge & Abilities

Essential criteria
  • Ability to communicate effectively with clients, colleagues and the general public
  • Ability to work calmly under pressure, on own initiative without supervision
