An exciting opportunity has arisen within General Surgery.  We are looking to recruit an enthusiastic, professional and motivated individual to join our very busy and dedicated admin team.  The successful candidate will assist in the provision of an efficient and responsive service for our patients, working with the clinical team to ensure the provision of an efficient patient pathway, which is receptive to the needs of the patient and responsive to Trust requirements. 

The successful candidate will provide administrative support to Consultants and their clinical team within the Department and also ensure the provision of an effective service.

The successful candidate will also have line management responsibility for a small team of admin staff.

Main duties of the job

  • To provide efficient and comprehensive medical secretarial and administrative support within a speciality.
  • To act as a joint point of contact for all enquiries, using tact, diplomacy and confidentiality. 
  • To manage the specialty administration and clerical workload, ensuring appropriate delegation of tasks to members of the specialty team and re-prioritisation when required.
  • To undergo training as necessary to meet the needs of new developments within the Service. To identify training for members of the specialty secretarial team in conjunction with the Admin & Performance Co-Ordinator (APC).
  • Respond to enquiries; e-mail, personal and telephone, ensuring confidentiality is maintained at all times.
  • To liaise with patients, consultants/teams, operational areas and departments, pre-assessment centres, wards, and other departments and communicate with patients, relatives and other hospitals.
  • Undertake yearly appraisals for Medical Secretary & Secretarial Assistant
  • To facilitate the efficient and effective administrative pathways for all patients, including cancer patients where appropriate. This will include actively managing, monitoring and tracking patients.
  • Where necessary for the specialty, work with the Multidisciplinary Team (MDT) to support meetings, which may include cancer patients, ensuring that they are run effectively and efficiently in line with local and national standards.

Education and Qualifications

Essential criteria
  • Educated to GCSE level standard English Language and Maths at Grade A – C (or equivalent)
  • RSA III typing, or equivalent qualification or experience
  • Audio typing qualification, or recent relevant experience
Desirable criteria
  • NVQ II or III Business Administration

Knowledge

Essential criteria
  • Knowledge and understanding of Confidentiality and the Data Protection ACT
Desirable criteria
  • Understanding and working practice of NHS performance targets including 18 week referral to treatment times

Skills

Essential criteria
  • Good standard of written and verbal communication at all levels
  • Organisational skills and a flexible approach to work
  • Ability to prioritise workload and work under pressure to ensure deadlines are achieved
  • Commitment to personal development

Experience

Essential criteria
  • Experience of using MS Office, particularly MS Word and Outlook
  • Previous Office experience
  • Experience of working with the general public and/or professionals
  • Demonstrate an understanding of customer care/ability to work with sensitive and confidential information
Desirable criteria
  • Experience of working within the NHS and an understanding of medical terminology
  • Experience of using Hospital systems, for example PAS (Patient Administration System
