Job overview

We are looking to recruit a part time (4 days per week) Lead administrator based at Wokingham Hospital, with free parking, to work specifically for the Children in Care service, within CAMHS. You will need to be an accurate typist, have previous administrative experience and confidence in using Microsoft packages.

The Children in Care dedicated Mental Health Team has been established to ensure that children who are in care, receive quicker access to mental health support.  By working in partnership and sharing knowledge, we hope to effectively meet the needs of children and young people in care.

Berkshire CAMHS is a multi-disciplinary community-based service that serves a child population of approximately 300,000 across the County.  The teams comprise of child psychiatrists, clinical psychologists, family therapists, nurse practitioners, psychotherapists, art/play therapists, social workers and Primary Mental Health Workers.

Main duties of the job

  • Leading admin for the team, you will support our clinicians in sending out correspondence and booking appointments. You will answer emails and telephone calls, following up actions where required. 
  • You will need to be experienced in taking minutes at meetings, diary management and confident in using the full Microsoft Office suite including Outlook, Word and Excel.
  • You will also be required to work on your own initiative and demonstrate a willingness to help others as a key member of the team.
  • The ability to build effective relationships, with a flexible approach to work is essential.
  • You will be expected to be able to prioritise work and meet deadlines in order to fulfil the requirements of the post.
  • Carry out day-to-day organisation of systems to ensure the smooth running of the administration team.

Detailed job description and main responsibilities

  1. Excellent interpersonal, observational, and reporting skills, able to deal with sensitive and challenging phone calls.
  2. Confident in IT skills and using Microsoft Outlook, Word and Excel, with accurate typing skills.
  3. Previous experience of working in an office and/or customer care environment.

Person specification

Education/Qualifications/Training

Essential criteria
  • NVQ4 or equivalent qualification/experience.
  • Knowledge of administration and/or office procedures.
  • Extensive knowledge and experience of working in a busy office and/or customer care environment, undertaking a full range of administrative duties and supervision and management of staff / work.
Desirable criteria
  • ECDL (European Computer Driving Licence) or equivalent knowledge and experience of using a variety of software programmes/packages – Ms Word / Ms Excel / Ms Outlook.
  • Typing 50 to 60wpm.
  • Knowledge of digital typing.

Continuous Professional Development

Essential criteria
  • To attend and contribute to staff meetings and Forums, supervision sessions, training courses, seminars and workshops, to ensure the development and enhancement of current working practices.
  • To participate in all personal review meetings, and take responsibility for personal and professional development. Responsibility for developing the role and the services provided.

Previous Experience

Essential criteria
  • Experience of supervising staff for at least two years

Knowledge, Skills & Abilities

Essential criteria
  • Good interpersonal, communication and reporting skills with the focus on CUSTOMER CARE and dealing with difficult service-users.
  • Ability to empathise, be supportive and sensitive to the needs of others.
  • Ability to use a practical problem-solving approach in everyday situations.
  • Intermediate to advanced IT skills, with an ability to navigate around various systems and software packages, such as Outlook, MS Office, the internet and databases.
  • Strong organisational and planning skills with the ability to re-prioritise own workload and that of others to ensure tasks are delivered on time.
  • Ability to work effectively in a team, demonstrating accountability for own work and an ability to work on own initiative.
  • Ability to work flexibly as required, with the ability to travel independently between locations to fulfil the requirements of the post.
