We are looking for a highly organised and motivated Personal Assistant to support the managers of Health Visiting and School Nursing in West Berkshire. The role will involve the management of the Health Visiting Admin team.

Highly organised, you will enjoy working in a busy environment and take pleasure in achieving your targets. You will be an experienced administrator, be adept at problem-solving and have excellent communication and people skills. Willing to learn, you will show initiative, be happy to be a team member and be highly motivated. Professional always, you will handle confidential and sensitive information with care and respect.

As part of this role, you will be an inspirational and self-motivated member of our team, enthusiastic to share your knowledge, particularly when managing and mentoring more junior team members. The team are supportive and friendly and enjoy good working relationships with partner agencies.

You must be a driver and have use of a car.

The role is 37.5 hours week; days and hours to be negotiated but within the core working hours of 09.00am to 17.00pm.

There is some flexibility for hybrid working.

Main duties of the job

  • Based at West Berkshire Community Hospital
  • To be a central point of contact and maintain relationships across the service, assisting the team in the development and maintenance of efficient and effective office procedures.
  • Provide administrative support with diary management to the service managers,
  • Plan and arrange meetings and events which may be internal of external to the service, ensuring all necessary arrangements are made, such as room bookings, refreshments, etc.
  • Attend designated meetings where the information may be complex and sensitive, taking, and transcribing minutes. Distribute information prior to and after meetings in a timely way.
  • Ensure all office systems are maintained to a high standard.
  • Supervise and manage the work of the team secretaries and administrative staff, ensuring administrative timescales and deadlines are met.
  • Liaise with other departments and external organisations on matters concerning the department business.

Education/Qualifications/Training

Essential criteria
  • NVQ Level 4 standard or equivalent knowledge gained through experience
  • ECDL (European Computer Driving License) or equivalent knowledge and experience of using a variety of software programmes.

Continuous Professional Development

  • Previous knowledge and experience of administration and office procedures and evidence of Continuous Professional Development

Previous Experience
